Vodafone Sales Portal

For over 1,000 Vodafone staff, I redesigned how content was managed and accessed by updating the Information Architecture and navigation strategy. In just three weeks, I unified three B2B sales portals into one streamlined system, making updates easier for editors and content faster to find for staff.

Overview

Project Goal

Merge the three sales portals into a single, scalable system that enables teams to easily access and identify new and updated resources for revenue growth. This system would simplify content management through a centralised, modular, and flexible template that is easy to manage and edit.

Pain Points

The legacy portals presented 2 challenges:

  1. Content Discovery:

Vodafone’s sales teams relied on three disconnected portals: Direct Sales, Partner Sales, and Sales Comms - causing difficulties to locate Best Practice Guides and Solution Recommendations, which disrupted sales performance, revenue growth and substaining customer relationships.

  1. Content Management:

Managing numerousness portals created inefficiency. The outdated content structure hindered scalability and the integration of new content streams, such as the Playbook and UK Portfolio.

This decentralisation also delayed the delivery of essential sales alerts and notifications to the entire sales team.

Role & Team

My Role:

  • I led the comprehensive gathering of requirements and aligned stakeholders, ensuring the solution met essential business needs while respecting technical constraints (see the discovery section below).

  • In just three weeks, I established the foundational Information Architecture (IA) and navigation strategy. I strategically utilised existing components from the Vodafone B2C e-commerce sites to maximise impact and minimise overall design and build time, as detailed in the Define section below.

Team:

  • I collaborated with a multidisciplinary team to ensure seamless integration of design, business objectives, and technical feasibility, including the Commercial Director, UX Director, Technical Lead, a Senior Full-Stack Developer, and three Product Designers.

Discovery

Understanding the requirements

Collaborated with key stakeholders to capture crucial insights into the sales audience's needs, objectives, and pain points.

By synthesising our understanding, identifying key audience segments, and validating the project direction through a comprehensive kickoff presentation, we ensured the solution was perfectly aligned with our core business priorities.

Collaborated closely with key stakeholders to capture crucial insights into the sales audience's needs, objectives, and pain points.

I synthesised this understanding, highlighted key audience segments, and validated the project direction through a comprehensive kickoff presentation, ensuring the solution's alignment with core business priorities.

Uncovering the problem

We conducted a comprehensive audit of the key pages, navigation, and site map, to determine strengths and weaknesses.

I then defined necessary structural and content changes, aligning technical requirements and possibilities with the development team and key stakeholders.

Define & Design

New site sturture

Developed a visual site map to structure three core content types - existing content, Playbook, and UK portfolio - integrating them to define the new site's structure.

Wireframing new navigation

We leveraged Vodafone's proven e-commerce mega menu to meet tight project deadlines.

This decision was key to adopting a superior, familiar search and navigation structure for sales teams, which significantly reduced design and build time by reusing available, effective design modules.

Selecting modules & templates

To develop a modular and flexible template system that can showcase any type of content, we conducted an audit of all Vodafone sites and mapped both existing and required content.

I identified reusable modules and visualised how they could be utilised to restructure and improve the current content, demonstrating the potential design and functionality of the site.

Wireframing

To prevent further project delays, we completed the required content mapping using low-fidelity wireframes while simultaneously waiting for access to the design system and assets.

GGMAR then took the wireframes to develop the style guides and integrate existing design modules.

Impact & Outcome

As I reflect on this project, I take great pride in my resilience during a high-pressure deadline with limited resources due to security constraints.

Despite these barriers, I was able to get the project back on track and set it up for long-term success. Although my involvement was limited to the final phases, I played an integral role in developing a modular, flexible template system.

This system is now being implemented across multiple online assets and is benefiting thousands of users.

Key learnings

My Takeaways

This project enhanced my ability to design efficiently by utilising reusable modules and templates.

I also adopted a proactive approach to gathering early feedback and collaborating closely with developers and stakeholders, ensuring clear communication and alignment.

Additionally, I learned to balance speed and organisation. I worked iteratively with rough files while maintaining a polished, structured version for a seamless handover.
